If you would like to have the ability to schedule multiple services off a single reservation, then you've come to the right place. In this article, we will take you through the steps to set up service automation.
The Service Automation features makes it possible to schedule services based on the arrival date and departure date for a reservation. You can also schedule mid-stay services based off these dates.
We recommend using this feature to schedule the following additional services:
- Arrival Inspections
- Maintenance Inspections
- Hot Tub Cleans
- MidStay Cleans
- Any service that you'd like to automatically schedule based off the arrival and departure date
Follow these steps to get your account configured for this feature:
STEP 1: Turn on the Service Automation Feature
- Navigate to your name icon at the top right and My Account
- Click on Additional Features.
- Scroll to Service Automation and move the slider to the right. The click UPDATE.
STEP 2: Add Your Automated Service Options
- Go to Setup, Services, and view Automated Services
- Add Automation Services at the Top Right
- From here you can add the description for any other service you want to automate in addition to your default service.
- To add other options, you can click the Add Automation Services. Then simply type in the description for the service you want to add. Be sure to use the color picker to differentiate between different services.
STEP 3: Add Your Automated Service Options to Your Properties
- Go to Properties>> Price Config and select the property to set up automated services
- On the far right hand side of the screen you will see an icon to the right of the service row.
- Click that icon and the system will create two additional service options: one service based on the arrival date and one based on departure date.
- In the column labelled DAY ADJUST, you can adjust the days offset from the reservation dates that the appointment will automatically schedule. The default setting is 0, meaning the task will be set on the arrival date and on the departure date.
- For example, for the Arrival task, if the DAY OFFSET -1, -2, -3, and so on, the task will be scheduled 1 day after arrival, 2 days after arrival and so on.
- For the Departure task, if the DAY OFFSET -1, -2, -3, and so on, the task will be scheduled 1 day prior to departure, 2 days prior to departure and so on.
- Add your pricing, default staff members, costs, etc to these services.
- To configure all of your properties, simply repeat step 3 for each property.
STEP 4: Test Your Setup
- Manually schedule an appointment for the property you configured. Be sure to select the default service, which is typically your departure clean service. (How do I manually Schedule an appointment?).
- Go to Appointments>>View and filter for the date you scheduled the appointment. Note: It can take up to 15 minutes before the system schedules the additional automated tasks associated with your default service.
- Check the dates to make sure the services are scheduled correctly.
This feature will give you the ability to automate almost all your services. However, please be sure to check your schedule regularly.
